OB DESCRIPTION MONITORING & DATA MANAGEMENT OFFICER Job Title: Monitoring & Data Management Officer Duty Station: Bahawalpur Gross Salary: Up to PKR 60,000/- Per Month (depends upon skills and experience) Contract Duration: 12 Months Qualification & Experience: Master Degree in Social Sciences/ Sociology with 2-4 year experiences in the relevant field General Responsibilities: To adapt to the changing environment of NGO sector and forces of the competitive world. To participate in all meetings, committees, forums, projects and assignments as required and expected. To continuously think for betterment of MUSLIM AID, its progress and its ability to fulfill its mission. To maintain highest standards of honesty and integrity in all disciplines Major Responsibilities: Monitoring & Evaluation Support provincial management and MEAL Coordinator in implementation of MAP MEAL guidelines for all the programmes and projects at all levels. Support to design, conduct and manage baseline assessments, data collection methods and schedules, special studies and surveys in accordance with objectives and expected results for management and lessons learnt. Responsible for managing the Project Progress Matrices/ tracking sheets (PPMs) and other data gathering tools based on key performance indicators of all projects/programs and make sure that district offices provide data on timely basis. To carry out regular field visits to project areas, prepare and disseminate monitoring visit reports to concerned stakeholders for effective and timely decision making. Provide support to conduct formative and summative evaluation that can support in identification and prioritization of problems, as well as project design. To keep close track of all project programmatic progress; identify and trouble shoot Reporting Maintain effective and efficient flow of timely and quality reports submission from districts to province and hence to country office. To review field reports to ensure and improve the quality and accuracy of the data reported. To ensure that reports reflect organization strategies, policies, programming framework and project management tools. Accountability and Learning To maintain an Accountability mechanism for timely registration and response to all complaints of stakeholders and to ensure compliance of HAPs standards/practices On the basis of complaints, provide regular reports to line manager on action taken and needs of improvement in project designs and strategies. Increase awareness of field staff on accountability mechanisms through formal and in-formal support. Support MEAL Coordinator to develop and maintain “learning sharing mechanisms” for further improvements in program/ project designs and strategy. Data Management Strong morals viz. honesty, transparency, generosity, altruism and respect Well motivated, team member able to work alone and/or without supervision Ability to observe and analyze social indicators and PATS approach Willingness to undertake further training offered by and required by the program Conduct all kind of assessments needed for project implementation Submit work plans & activity reports Ensure timely submission of weekly/monthly work plans and reports Develop & submit fortnightly work plans & daily activity report Get every work plan & report signed by the line manager Guide SO’s and other staff on reporting formats Personal Attributes: Ability to read and write well in local languages, and the national language. Computer skills or potential to learn them, focus on word processing Internet skills or potential to learn them; focus on research (and email) Language: Urdu and English is compulsory both reading and writing KNOWLEDGE, SKILLS AND ABILITIES Muslim Aid is looking for a dynamic, creative result oriented person with thorough understanding and experience in MER. Strong interpersonal skills and good as a team player. Excellent communications skills (verbal & written) to communicate effectively with representatives of donors’ public bodies and management of Muslim Aid. Highly developed work organization skills, including prioritization and working to deadlines. Developing and maintaining close relationships with donors. Ability of developing systems, procedures and departmental strategies. Proven ability to provide peer-to-peer support and coordination. Excellent research and analytical skills.
